How to use Zoom Meetings with Appointedd

Zoom provides cloud based video communications, allowing you to host web meetings by audio, video or both. You can also share your screen, record your meetings and more.

βš™οΈ How does Zoom and Appointedd integration work

When a booking is created

When you connect Appointedd and Zoom, a web meeting is created in Zoom when a booking is made with an appropriate service/resource (If you would like to setup a Zoom Webinar, please read this guide).

The web Meeting URL (e.g. https://zoom.us/j/123456789) is included in the confirmation email to the customer as part of the body of the email and in the attached .ics calendar file.

For complete convenience for the resource, the Zoom link is sent to them in their notification email when a booking is made (see more about resource notifications here) and is included in their synched external calendar (see more about calendar sync here).

When a booking is modified

When a booking is moved to another date or time by the resource or at app.appointedd.com, the Zoom Meeting link will updated to the appropriate time. The email confirmation to the customer notifying them that the booking has been changed will also include the new Zoom link.


βš’οΈ How to connect Appointedd and Zoom Meetings

To start using Zoom, first you need to connect your two accounts. If you don't yet have a Zoom account, you can create one at https://zoom.us/.

  • Log in to Appointedd at app.appointedd.com

  • Go to the Connect tab

  • Select Connect with Zoom

  • Click Zoom Meetings integration to sign in and connect

  • Log in to your Zoom account

  • Click authorize and you'll be directed back to your Appointedd account

  • Click the orange assign button to assign a Zoom user to an Appointedd resource

By assigning a Zoom user to a resource, all bookings made with that resource (for a service which has Zoom integration enabled) will automatically create a Zoom Meeting for that Zoom user.

  • Select a Zoom user from the dropdown

  • Select the appropriate resource(s)

  • Click assign.

Your Zoom user is now connected to the appropriate resource(s). Now we need to set the services for which a Zoom Meeting should be created.


πŸ–ŒοΈ Set the services for which Zoom Meetings should be created

To ensure that Zoom Meetings are only created for the appropriate bookings in Appointedd i.e. to make sure a Zoom Meeting isn't created for an in-person meeting, you should turn on this setting for the appropriate services in Appointedd:

  • Go to the Setup tab

  • Select Manage services

  • Click the pencil icon next to the appropriate existing service or click add service to create a new one

  • Go to Type of service

  • Scroll to the bottom to find the Zoom section

  • Flip the slider to on

  • Click save service

  • Repeat for any service which you wish to create a Zoom Meeting.

πŸ”Ž Where to find the Zoom link in your booking tools

You can quickly join a Zoom meeting by selecting the existing booking in your calendar and clicking on Join Meeting, or copying the link and pasting it in your browser.


❌ Disconnect your accounts

You can disconnect your Zoom and Appointedd accounts at any time by going to Zoom under the Connect tab and clicking disconnect from Zoom.

Please note that the admin user who connects Zoom to Appointedd has to stay admin and part of the Zoom organisation after connecting Zoom & Appointedd. If this person is removed as a user from Zoom the integration will no longer work. If you wish to remove this admin user please disconnect the integration, remove the user from Zoom and then connect the integration again.
