Overview
Appointedd allows you to schedule and take bookings for an event on the date(s) and time(s) which that event is running. This guide takes you through the best practice on setting up events.
Create a service with multiple occupancy
To allow multiple people to join a booking, you must create a service with multiple occupancy:
Hover over the Setup tab and click Manage services
Click add service
Complete the standard details e.g. name and price
Select the Event type under the Service type drop-down
Set the maximum occupancy (this can be anything up to 500)
Ensure that online group bookings is set to ON - this will be OFF per default
Set the online booking limit. This is the maximum number of spaces which a customer should be able to book in one transaction
Set the bookable times
Usually, for an event, you would select specific dates/times when this event is taking place. To add the correct service availability, please follow the steps below:
Once the service is created and all the required information has been filled out (steps above), head to the Availability section and set the Custom schedule toggle to ON.
Select Manage, which will open a custom schedule pop-up window.
3. Hover over a specific date and click on the green + sign to add your schedule:
4. Choose what rule you wish to apply to your service schedule - whether it's for one specific day only or multiple days:
Read more about service custom schedules and how each rule works here.
Don't forget to save it once the date(s) and time(s) of the event(s) have been added.
Schedule the event
Now you can add the event to the calendar for our chosen date(s) as empty bookings:
Head to your Calendar tab, find the date and time and click add booking
Select the service
Select the appropriate date and time
Click next
Click create booking
You do not need to add customers at this point so simply select yes.
This empty booking will now appear on your calendar and every time a customer makes a booking, you will see how many spots have been taken.
If you're running these events via Zoom Webinars, we recommend following this guide.
