How to create a Zap

Learn how to automate workflows between Appointedd and other apps, using Zapier.

๐Ÿง What is Zapier?

Zapier (rhymes with 'happier') is handy tool that allows you to move information between your web apps (like Appointedd) automatically, so you save time and donโ€™t have to think about it.

In other words, Zapier is an online automation tool that connects your apps and services. You can connect two or more apps to automate repetitive tasks without coding or relying on developers to build the integration.


๐Ÿ”– What is a Zap?

A Zap is an automated workflow that connects your apps and services together. Each Zap consists of a trigger and one or more actions. When a Zap runs, each action it completes counts as one task.

โญ๏ธ Helpful information to know before you get started

There's a few things to note that you should be aware of before creating Zaps. You can find more questions answered in our Zapier FAQ.

  • Only Appointedd admins are able to set up Zaps from Appointedd. This is because Zaps automate information flows out of Appointedd and some of this might contain sensitive data. We want to ensure that only authorised users of your Appointedd account can transfer data out of it.

  • If you have an existing Zapier account, you'll be able to log into this during the Zap setup flow. If you don't have one, you can either set one up here, or create one during the Zap setup flow.

  • You can find a full list of existing Appointedd triggers here.

  • If you have administrator access to multiple Appointedd accounts, the Zaps you set up will be relevant to all accounts you're an admin on. If you need to filter based on account, you can do this within the Zap setup flow.

  • Zaps are authenticated at a user level, therefore if the user who set Zaps up leaves, workflows will stop working. To ensure that workflows keep working, ensure that Zaps and/or the Appointedd account are transferred to someone else if the original user is leaving.


โš™๏ธ How to create a Zap

Step 1: Log into your Appointedd account and navigate to the Connect tab. Here, select Connect with Zapier.

Please Note: Only accounts with administrator access will be able to link to Zapier and create Zaps.

Step 2: You'll arrive on the Zapier integration page of Appointedd. Click Go to Zapier to start creating Zaps which will launch the Zap setup flow.

Step 3: You'll be directed to the Zapier login page. Here, you can log into your existing account, or create a new one. Once logged into the Zapier account you're looking to link to Appointedd, click Confirm and Connect.

Step 4: You'll arrive on the Zap setup page where Appointedd will be selected as the source application. Here, select the Appointedd trigger you're looking to use (this is the information Appointedd will send to Zapier) and the action you'd like to happen based on the trigger.

Step 5: Once you've mapped all your field, click Continue to Test & review your Zap. You'll see a preview of the action your Zap completed so that you can ensure everything behaves as you intended. If something doesn't look right, make any changes necessary in the Zap editor and test your Zap again.

Step 6: Once you're happy with how your Zap works, click Turn on Zap.


๐Ÿ–Œ๏ธ Managing Zaps

Follow step 1-6 if you'd like to create further Zaps. However, now that you have set up one Zap, you won't have to authenticate between Appointedd and Zapier again. Your Appointedd account details will be saved for the future. You can manage connected apps, including Appointedd under My Apps in your Zapier dashboard.

While within your Zapier dashboard, your Zap History will include a detailed log of all your Zaps. If your Zap isn't working as expected, your Zap History will give you more details a to why a Zap failed.

You will also see within Appointedd how many Zaps each admin has set up (if they have any) so you can keep track of who's setting up Zaps.
