Via the integration between Appointedd and ConferWith, your customers are able to book 1:1, virtual, shoppable appointments through Appointedd, hosted on your website via ConfeWith's technology. This means you won't miss any customers, even if you don't have agents available for instant live video calls.
What the Appointedd x ConferWith integration does
When an appointment is created via Appointedd, a virtual meeting is created in your ConferWith dashboard as well. The unique joining URL is included in the confirmation email to the customer as part of the body of the email. The customer also receives a reminder with the joining link, if this is set up in the Appointedd back-end.
When a booking is modified, eg. the booking is moved to another date, time or resource via Appointedd, the appointment is updated in ConferWith. In addition, the customer receives a booking modified email, including the new joining URL.
Set Appointedd up ready for the connection
Configure your Appointedd account
If you're new to Appointedd, you can find a collection of helpful articles here on how to get start with Appointedd.
In order to utilise the Appointedd x ConferWith integration, we recommend configured the below as a minimum:
Create a resource: resources are what your ConferWith agents are going to connect to. Therefore in the context of ConferWith we recommend that you have one resource per agent.
Create a service: services are what your customers will book, for example "Virtual Consultation". For each service, you need to assign resources that can provide the service. Appointedd will manage the availability and make sure that when customers book a service, the meeting is assigned to one of the available resources assigned to that service. Or, you have the option to enable a resource selection step in the booking flow which means that customers can select the agent they'd like to chat to.
Configure your booking page, popover or embedded widget: you can adjust these to suit your brand or existing website and then add them to your website and/or promote your new online booking tools.
Customize the automated communications your customers receive
To include the unique ConferWith link in emails your customers receive when they book an appointment with you, you'll need to include the joining URL with an Appointedd variable.
You can set this up easily by utilising the advanced communication feature of Appointedd. We recommend including the joining URL in the confirmation, modification & reminder emails.
Once you have advanced communications turned on for each communication template you'd like to include the ConferWith link in, adjust the content as you'd like, and add the appropriate URL. The link will look something like this:
[JOINING LINK TO BE ADDED]{{booking_id}}
If you're uncertain what this URL is for your business, please reach out to your ConferWith contact.
Here's an example of what the full advanced template will look like in the editor:
[SCREENSHOT OF THE EDIT WITH EXAMPLE TEXT]
This is an example of the content itself:

Hi {{customer_firstname}},

Thank you for booking:

{{service_name}} | {{booking_start_time | date: "DDD, t"}} {{booking_timezone_abbreviation}}

Access your meeting through the following link:
[JOINING LINK TO BE ADDED]{{booking_id}}

If you wish to cancel this booking, {{ booking_cancellation_url | link:"click here" }}

All timezones referenced in this email are in the {{customer_booking_timezone_full}} timezone.

And your customers will receive something like this:

Customise the automated communications your resources receive
Your resources will be able to start the virtual meetings from their ConferWith dashboard, but if you'd like them to receive the joining URL in the resource confirmation email as well, please get in touch with team Appointedd to action this. We will need your resource/agent joining URL in order to this, which will follow the below format:
[JOINING LINK TO BE ADDED]{{booking_id}}
If you're uncertain what this URL is for your business, please reach out to your ConferWith contact.
Connect Appointedd and ConferWith
Sync Appointedd bookings into ConferWith
In order to ensure that all bookings created in your Appointedd account appear in your ConferWith dashboard, you'll need to set up webhooks in Appointedd. You can learn more about how to set these up here.
For this connection specifically, you'll need to create a booking_created
, booking_updated
and booking_cancelled
webhooks with the same settings:
In your Appointedd account go to Connect > Create webhooks and click Add webhook
Name webhook to make it easily identify-able, this could be anything
Select webhook trigger which will be
booking_created
,booking_updated
orbooking_cancelled
Under URL, add the ConferWith API endpoint of your ConferWith account - if you're uncertain about this, get in touch with your ConferWith contact
Then add the authorization header with the API key you have received from your Conferwith contact
Repeat step 1-4 for all three type of webhooks

Link a ConferWith Agent to an Appointedd resource
Lastly but not least, your ConferWith Agent(s) will need to be connected to their corresponding Appointedd resource.
The Appointedd resource ID can be found by navigating to the resource record under Setup > Manage resources > View info. The ID will be visible in the page URL - for example, in the below image the resource ID is 603e2289b30e0420317d96a4:
Once you've got the Appointedd resource ID, go to your ConferWith dashboard and add the Appointedd resource ID to the relevant ConferWith agent.
Once you've completed the above steps, you're all done! Now, your customers are able to book virtual appointments through Appointedd, hosted on your website via ConferWith.
