How to send notifications to your resources

Learn how to notify your resources of new bookings and cancellations made with them.

πŸ“£ How to send booking notifications to resources

With Appointedd, you can choose to send email notifications to resources when they are booked for a service, when a booking request is sent or if their booking is cancelled.

  • Hover over Setup and click Manage resources

  • Click view info

  • Click edit resource

  • Enter the resource's email address

  • Flip the switch to send resource booking confirmation, request or cancellation emails.

  • Click save changes.

This will now send notifications to your resources whenever they are booked.


πŸ“§ What the email confirmation or cancellation will include

  • The customer's name and email address

  • Any custom fields

  • The name of the resource the booking was made for

  • The service and category of the booking

  • The date and time of the booking

  • The price of the booking

  • An .ics calendar event (see more about this in this guide)

If you wish to have resource bookings reflect on the resource's external calendar e.g. Google, Apple, Outlook etc, the best thing to do is connect the resource's Appointedd calendar with their external calendar. Find full details on calendar sync here.

Please note: resource emails are not customisable and follow a generic Appointedd email template.



Top tip: ensure that your resources are aware of new bookings immediately by marking the email sender as VIP and turning on VIP notifications on the resource's phone. To be notified of booking confirmation emails in the iOS Mail app:

  • Tap on the email sender in the email

  • Tap add to VIP

  • Go to your device settings

  • Tap notifications

  • Tap mail

  • Tap the slider to allow notifications

  • Tap VIP

  • Amend your setting to show notifications on lock screen and when unlocked.
