How to manage your resources

Create your resources, include them in groups, mark the services which they can complete, set their working hours and more.

What are resources?

A resource is a bookable calendar - typically a person, a space, or a piece of equipment. When a resource is booked for a 1:1 appointment, it canโ€™t be double-booked, so you'll need an additional resource to handle a second 1:1 appointment at the same time.

For group events that accommodate multiple attendees (e.g. workshops or classes), you can use a single resource in combination with an event-type service. Learn more about event-type services here.

How do I create resources?

  1. To create a resource, go to the Setup > Manage resources

  2. Click Add resource

  3. Enter the resource's details, add a photo and even assign their favourite colour

  4. Assign the relevant services to this resource

  5. Make sure to click to Save changes

Your new resource will now appear in your Appointedd calendar! Follow the same process to create more resources.

Creating separate resources is ideal when you need distinct calendars for specific areas or resources in your business. This approach provides granular control over each resource's availability and bookings.

How do I set the working hours?

For each of your resources, you can set the days and times at which they are available to be booked. Find out more about Resource Scheduling here.

How do I edit or delete resources?

  1. To delete a resource, go to the Setup tab and click Manage resources;

  2. Click View info next to the resource;

  3. Click on Delete or Edit;

  4. Confirm the deletion or adjust as required.

How can I group resources?

Resources can be grouped to allow you to manage your different teams, locations, types of resources etc. By grouping resources, you can offer different booking tools for each of your resource groups.

This is particularly useful when implementing separate calendar strategies for different areas of your business. Find out more about grouping your resources.

How can I allow customers to select a resource when booking?

If you want your customers to be able to select a specific resource during the booking flow, you can enable this option on your booking tools.

Alternatively, if you don't want to allow customers to pick a specific resource, but you would rather give them an option to choose a resource group instead (e.g. Female masseuse or Male masseurs), this is also possible in the booking tool configuration.

To set up both of these options:

  • Hove over the booking tools tab;

  • Select customize your booking flow from the drop-down menu;

  • Turn resource selection and group selection settings on/off;

If you use multiple booking widgets, you can also configure this further on each individual widget settings under Booking Tools> Manage booking widgets.

How can I allow staff internally to select a resource when booking on a customer's behalf?

When making bookings internally, the first step is to click the +Add new booking button and follow the booking flow steps.

In the availability step, you will also be able to select whether you wish to schedule with Any resource or select a specific resource.

If you have any resource groups set up, where you have full access to all resources within those groups, a group toggle will appear next to the resource selection. This will allow you to schedule a meeting with any resources from a particular group only.

What's the best way to manage my resources?

For managing working hours, we highly recommend connected Appointedd to an external calendar such as Outlook or Gmail. This will allow availablity to be more easily managed. Read more here.

Efficient calendar management is crucial for organizing bookings in Appointedd. You can manage calendars in two main ways:

  • Using a single calendar for shared resource management (e.g. group bookings).

  • Creating separate calendars for distinct resources or areas.

Using a Single Calendar for Group Bookings

If you manage multiple rooms or shared spaces, you can use a single calendar for group bookings. This approach simplifies calendar management by pooling resources together. For instance, you can set a limit on the number of simultaneous bookings based on the total resources (e.g., if you have three rooms, limit bookings to three customers at the same time). This strategy is best when resources are interchangeable or when maintaining a simplified calendar view is a priority.

Creating Separate Calendars for Specific Areas or Resources

For a more customized approach, you can create separate calendars for individual areas or resources by creating new resources. This approach is ideal for businesses with distinct spaces requiring separate booking workflows.

Choosing the Right Strategy

  • Single Calendar: Simplifies booking management by pooling resources into one calendar. Ideal for up to a few shared spaces.

  • Separate Calendars: Offers granularity and specific resource management. Recommended for larger or specialized setups.

How can I send notifications to my resources?

Resources can be notified when a customer books with them or cancels their booking - this can be set up by following the steps here.

How can I view the resource utilization report?

You can check how utilized your resource is and explore their capacity by checking their utilization report.
