Learn all you need to know on how to take bookings for your creative arts business.

Appointedd partners with many businesses that use online booking for the purpose of offering creative services. Whether you offer dance lessons, music lessons, art courses or drama classes, Appointedd can offer a solution.


Getting started

Resources

At Appointedd, we call bookable calendars resources. Depending on how you want to manage your account will determine how you label these. If you have instructors/ teachers that you would like to make bookable, you should add them as your resources. If you are making rooms bookable then the resources should be labelled after them. Services

We most often see businesses within the creative arts industry make use of standard services and multi-tier services. Standard services are great if you are looking to offer your service to all of your customers for the same price. If you are looking to offer different pricing options, for example cheaper depending on age, then multi-tier may be the best option for you. You can create all the services you need here.


Setting up your communications

Emails

You can set up email notifications for every transaction a customer has with a booking. You can edit these emails so that they are branded to your business and add HTML headers and footers. Learn more about editing emails here. The benefit of sending these communications is that it creates a touch point with your customers and minimises any confusion as whether they have booked properly or not. You can also include important content such as items customers should bring with them for their booking.

SMS

You can also set up SMS communications if you would like to send texts to customers when the make a booking etc. You can set this up here and learn all about SMS notifications here. If you are already sending out email communications you may not wish to send SMS too. However if you regularly keep your customer's up to date through SMS then this may feel like the more natural method of communicating.

Reminders and follow ups

We highly recommend that you make use of our reminders and follow ups functionality for your creative arts business. By sending a reminder before the booking and a follow up after, you can reduce no shows and drive repeat custom. For example, if you are offering music lessons, you can send the customer an email or SMS a couple of hours before to remind them it is coming up soon, and then a follow up afterwards saying thank you and reminding them to book again. Setting up your online booking tools

Depending on how you would like customers to book with you will depend on which of the following solutions will work best.

Booking Page

Your Booking Page is a unique website where customers can book all of your services from. If you click on booking tools and select go to Booking Page, you can view your Booking Page and copy the URL to share with customers. You can learn all about editing your Booking Page here.

Booking widgets

If you have your own website and would prefer customers to book with you from there you can do so by using booking widgets. To create a booking widget, please go to Booking tools and select manage booking widgets. You can filter your booking widgets to show the services you wish and specify which resource's availability you want to display. We offer two different types of widget. The embedded widget which you can learn all about here, and a popover book now button widget here.

Customize your booking flow

You can customize your booking flow to create a streamlined process for you and your customers. You may wish to make use of the block availability after feature, as this sets how far in advance customers can book with you. From our experience, we have found that lots of businesses within the creative arts industry prefer to only offer a certain number of classes at a time and so this may be helpful for you too. If you have multiple instructors/ teachers that offer the same services, you may want to allow your customers to choose which instructor they would like to book with. You may also want to ask questions on the booking flow to gather all the information necessary to carryout the booking for example, "Previous experience?".

Payment gateway

If you are offering your service virtually, or in person, you may want to take the payment for the service either in full or as a deposit at the time of booking. This will also help to reduce no shows. Appointedd integrates with three payment providers: Stripe and Square. Here is a guide on starting to take payments through Appointedd.


How to manage your account

Day to day use

Once you have set up your account to fit your needs and started to take bookings, the calendar page in Appointedd will start displaying all of your bookings. When a teacher/ instructor has a class, they can login to Appointedd and click on the class in their calendar, where they will be able to see all of the customers that have booked onto it. From here they can also use our status feature to keep a record of everyone that arrived.

User logins and permissions

You can give all of your teachers and instructors access to your account by creating them a user login from this page. When creating a new user login, you can also set the permissions they can have with your account. You can learn all about the differences in permissions here.


How to measure success

Reporting suite

If you want to quantify the value you're getting from Appointedd you can use our reporting suite to gain an insight. You can see the reporting suite in your account here and learn all about reports here. You may wish to understand which instructors are getting the most bookings, which services are most popular, how much money is being generated through online bookings and which of your booking widgets is performing best.
