How to auto-filter "low SMS credit" emails into a folder (for Gmail & Outlook)

Learn how to stop low SMS notification emails from cluttering your inbox by automatically filing them into a dedicated folder, unread.

👤 First, check if changing your user roles is feasible

"Your SMS credits are running low for [business name]" notification emails are sent to Admin and Standard users, but not to Restricted users.

If you don't need to receive these alerts, the best first port of call is to ask your account admin to change your user role to Restricted. This stops the emails at the source, rather than needing an inbox filter.

Note: changing your role to Restricted may also affect what else you can see or do in your account, so only do this if that trade-off is acceptable to you. Learn more about permissions here.

If you still need Admin or Standard access, use the filter setup below to keep these emails out of your main inbox without changing your permissions.

🧐 Why can't you just stop them sending altogether?

We can't stop these notifications from sending, because they're running on an old legacy platform. But the good news is, we'll be building a modern SMS platform into the new Appointedd Hub. This will allow you to control business notifications such as these. Watch this space!

In the meantime, follow the steps below to keep them out of your inbox.


🌍 Overview

If you're getting recurring "Your SMS credits are running low for [business name]" notification emails and don't want them in your main inbox, you can set up a rule/filter once that automatically:

  • Moves the email out of your inbox into a folder (e.g. "Notifications" or "SMS Alerts")

  • Marks it as read, so it doesn't show up as unread clutter

This is a one-time, 2-minute setup in both Gmail and Outlook.


📧 Gmail instructions

  1. Click the search bar at the top of Gmail, then click the filter icon (sliders icon) on the right-hand side of the search bar.

  2. In the Subject field, enter the identifying text from the emails - Your SMS credits are running low

  3. Click Create filter.

  4. In the filter options, tick:

    • Skip the Inbox (Archive it)

    • Mark as read

    • Apply the label: click the dropdown → New label → name it something like SMS Alerts

  5. Optionally tick Also apply filter to matching conversations to file any existing ones already in your inbox.

  6. Click Create filter.

Repeat steps 1-6 for You have run out of SMS credits and Top up your SMS credits now as the subject line.

From now on, these emails will skip your inbox, land in the SMS Alerts label/folder, and be marked as read automatically.


📧 Outlook instructions

Outlook on the web (Outlook.com / Microsoft 365)

  1. Click the gear icon (Settings) → View all Outlook settings.

  2. Go to Mail → Rules.

  3. Click Add new rule.

  4. Name the rule (e.g. SMS Alerts).

  5. Under Add a condition, choose Subject includes and enter the identifying text (e.g. Your SMS credits are running low)

  6. Under Add an action, choose:

    • Move to → select an existing folder or click New folder to create one (e.g. SMS Alerts)

    • Click Add another actionMark as read

  7. Click Save.

Repeat steps 1-7 for You have run out of SMS credits and Top up your SMS credits now as the subject line.

Outlook desktop app (Windows/Mac)

  1. Right-click on one of the "SMS credits running low" emails in your inbox.

  2. Select Rules → Create Rule.

  3. Tick the condition matching the subject or sender.

  4. Tick Move the item to folder and either select or create a new folder (e.g. SMS Alerts).

  5. Also tick Mark it as read.

  6. Click OK to save.

  7. If prompted, tick Run this rule now on messages already in the current folder to file existing ones too.


✅ Result

  • Best option if available: switch to a Restricted user role and stop receiving these emails entirely.

  • Otherwise: the emails will skip your main inbox automatically, land in a dedicated folder/label, and be marked as read - filed away without cluttering your inbox or notification count.
